This paper analyzes the current inventory management and customer tracking challenges faced by a small salon owner named Myra. The existing process relies entirely on employee verbal notifications, leading to frequent stockouts and rushed reordering. The paper proposes adopting salon management software — specifically Insight — to automate inventory monitoring, provide real-time stock visibility, enable just-in-time ordering, and maintain a customer database. Two flowcharts contrast the current manual process with the proposed automated system, illustrating how technology can streamline operations and improve service delivery in a small salon environment.
Currently, Myra's approach to inventory control is ineffective. She relies solely on her employees to notify her when she is out of stock or running low on a product, which can cause the salon to lack the equipment and supplies needed to satisfy customers. As a result, she is sometimes left with no stock or is forced to rush to fill inventory demand. In addition, Myra has difficulty reaching out to customers because she has no system for tracking them. Without a customer relationship management solution, she struggles to remember customers' preferences and products used, which would otherwise increase the ease of serving regular clients.
It is crucial that Myra invest in software to more easily manage her inventory. According to industry guidance, salon owners must "purchase salon management software to keep track of accounting, employee time sheets, customer appointments, and to help manage your supplies and inventory" (Brookins, 2011). There are existing software applications — such as Insight — that address multiple challenges Myra faces, including inventory management.
Such software gives her "real-time access to current inventory levels" (Manage My Spa, 2013). When used correctly, she can "compare projected usage with actual usage (and monitor that the difference is within 10%), order products only when you need them (so you don't overspend on inventory that does not move quickly), order products just in time to stay stocked on quickly moving items, view reports on spend by treatment category and vendors, and compare against projected expenditure" (Manage My Spa, 2013).
Inventory management software like Insight offers a comprehensive design that supports not only inventory tracking but also online scheduling and customer databases. This will help Myra gather and maintain customer information while managing inventory from a stronger strategic perspective. The software can set appointments — both in-salon and online — includes a user interface accessible from a smartphone, functions as a point-of-sale system to track sales, and serves as a full inventory management platform.
