Business communication enables a sales person to interact with the customers in his/her day-to-day activities. Since business communication basically incorporates the constant flow of information, a sales person is able to interact freely with the customers providing them with information concerning the products and services. Without interaction with the customers, a sales person cannot achieve his/her overall sales goals because the customers will not have information concerning the products or service. The interaction between the sales person and customers is mainly through the oral communication methods such as face-to-face meetings or telephone calls.
Providing Feedback:
As a result of interacting with customers in order to promote his/her products, a sales person in turn receives feedback that determines whether the customers were satisfied with the products. This feedback ensures that the products that a sales person offers meet the existing market demands or whether there is a need to make changes to the kind of products being offered in order to guarantee customer satisfaction. Moreover, this feedback may involve the written communication methods such as sales reports and memos which convey customers' potential issues and other important matters.
Management of Daily Work Activities:
For a sales person, business communication enables him/her to manage daily activities through the basic functions of management like control and planning. While planning involves the determination of the future course of actions, control involves the periodic examination of these actions to ensure that the objectives of the business are met. Business communication enables a sales person to manage his/her daily activities through identifying and deciding what to do, how to do it and when to do it. The sales person will also be able to examine his/her activities to determine whether they conform to standards and ensure that they increase the productivity of the business.
As part of the management of daily work activities, a sales person determines what to do as a result of the interaction with both his/her employers and the customers. This constant interaction with the employer and customers is because of the significant role of business communication. Through the various methods of both oral and written communication, a sales person can plan his/her everyday work activities depending on the number of face-to-face meetings, telephone calls and messages to be written in that day. While it's difficult to determine the number of telephone conversations in a day, the sales person can plan on the time to be involved in written communication.
Current Trends and Message Types in the Workplace:
The current trends in the workplace have been brought by the technological advances which have changed the face of business communication. These current trends include the use of several means of communication like teleconferences and emails as well as devices like Personal Digital Assistants (PDAs) to increase productivity and customer satisfaction (Hunt, 2010). Currently, emails are the most preferred means of communication for both interoffice and with customers. PDAs and teleconferencing are used to keep the employees in contact with each other and to keep in touch with the other branches of the organization respectively. As a result of the use of these current business communication trends, the message types are email, instant and text messages. While emails are used to inform the customers about the details of products, both the text and instant messages are mainly used in communication between employees.
